Prospective Students:  Host Site Preparations


The host sites have agreed to:

  • Receive and greet students at the airport

  • Orient students to program staff and facilities

    • Introduce to other students, academic professionals, and researchers from host labs

    • Prepare information package of contacts (including American Embassy, medical emergency information, etc)

    • Locate foreign language training or other formal course work as appropriate and/or as desired by the student(s)

    • Provide access to VTC equipment and arrange weekly interactions between the co-mentors, the students and other members of the group project. This will allow the students to stay in contact and add to the success of the overall program

The Program Coordinators will work with the host sites to ensure that a smooth transition into the workplace at the host site will be achieved. In addition, the coordinators and host sites will work to:

  • Coordinate with host institutions. This will ensure that students have adequate access to the research facilities, libraries and laboratories, and key personnel at the site.

  • Identify potential international host scholars and key points of contact. This will be part of the application process. We envision successful candidates will have already discussed the project with the co-mentors. The program will ensure that the institution is supportive of the project.

  • Match host scientists with students. This is part of the application process.

  • Organize and execute orientation for foreign host scientists and engineers. This orientation will help the student know whom to contact in case of emergency and will give the student the schedule of key contacts at the host site.

  • Secure local accommodations for participants. The host site will agree to local short-term housing and assist in finding longer-term housing during the course of the project.

  • Review and anticipate special on-site needs. The organizers will work with the host site to review any special needs.
